During the past 24 months, 2020 and 2021, China’s convention and exhibition venue industry has agonized through the greatest challenges in the industry’s history.
From a global pandemic and isolated weather calamities, the industry has experienced cancellations, closures, uncertainty, drastic loss in revenues, layoff of staff and even some deaths among staff and/or members of their family. Personal stress has reached extraordinary levels. Of course, what has simultaneously been occurring outside the industry within our communities has heightened overall adverse conditions.
The first question that arises is have we learned from it? The next question is what we are doing differently that can reduce the impact of such challenges in the future. In other words, are we better from what we learned?

Having served within the industry since 1959, I know of no other more challenging period of time. We used to be fairly redundant in our operations, experiencing much of the same day to day and year after year. Even with industry growth, little change was obvious aside from, for example, the technological advancements and the impact of social media on awareness and marketing as well as increasing competition produced as the supply of space has exceeded demand all mostly within the last two decades.
However, what has created an enormous challenge of recent is the requirement for much more emphasis in the area of emergency preparedness and the absolute need for professional leadership to ensure proactive attention to addressing potential emergencies regularly. Additionally, there is the element of the associated change relative to dealing with emergencies, small ones and those we can classify as crises such as major floods and pandemics.
Surely, we all know now that it is not a question of if there will be an eventual emergency within our venues, rather, only when emergencies will occur. With the staggering interruption to our industry’s business over the last two years, professionalism demands that our venue teams are as ready as possible to put a comprehensive emergency plan into action.

I have chosen three key discoveries that we should have all learned to address the issues summarized herein:
The first thing we should have learned during 2020 and 2021 is how venue teams must be better prepared with resources for an emergency and the uncertainty and/or unknowns that will likely exist during such times.
Secondly, we should have learned a local venue team must be trained and prepared to respond proactively and expeditiously utilizing the information from a resources network.
Additionally, we should have learned we must be ready to change, innovatively adapting best business practices to mitigate the emergency, especially a long-term crisis as we have experienced and continue experiencing.
I offer three primary recommendations relative to these three points above:
Ensure you have a written Emergency Preparedness Manual (EPM) developed for your venue and that all executives are well trained in every aspect of the content.
Ensure you have local resources (all related local Bureaus) that are familiar with the EPM and ready to address the emergency along with the venue team.
Ensure you have the network of resources at your immediate access and be proactive in contacting those in the network for information, ideas, and what works in other locations (local, country and global). Call upon a network of professionals or professional organizations that can provide the critically needed information to expeditiously address the issues.
As a venue manager, executive and especially as CEO, be ready to lead and keep the stakeholders informed.

By way of example, I will share the two global professional organizations which I depended on during this most challenging period and recommend the websites of both organizations for your use. These two associations are actively involved globally with the venues and venue leaders that are setting our industry’s standards. Both were founded nearly 100 years ago and are led by venue executives and association boards consisting of venue executives. They are:

Closely affiliated with the IAVM is the Venue Management Association (Asia and Pacific) Limited (www.vma.org.au) which is a co-sponsor with UFI for the Annual China Venue Management School that began in 2018 (unfortunately cancelled in 2020 due to the pandemic).
To be responsible in our leadership, we should consider being a part of a network which is proven as a professional venue resource and expand our knowledge with the many benefits that are available to help respond to your clients, public and stakeholders in our day to day responsibilities as well as the emergencies we are sure to face in the future. The venue owners, users, visitors and other stakeholders demand it.
